Reply fast
Customers usually contact more than one business. The first clear, helpful reply often wins. Aim to reply within minutes during working hours, and use a WhatsApp Business away message to say when you will reply outside them.
Ask the right questions
Before quoting, understand the need. Save these as quick replies:
- What exactly do you need, and is there a photo you can share?
- Where are you located?
- When do you need it by?
- Do you have a budget in mind?
Send a clear quote
- Write what is included, the total price, whether GST is included, and how long it will take.
- Give two or three options where possible, such as standard and premium.
- Say how to confirm and pay: "Reply YES and pay the 30% advance by UPI to book your date."
- Mention how long the quote is valid.
Follow up, politely
- If there is no reply, follow up after one or two days: "Hi, just checking if you had any questions about the quote."
- Follow up once more a few days later, with something useful: a photo of similar work or a review.
- Then stop, and label the chat so you can contact them again before the next season.
Use WhatsApp Business labels such as "New enquiry", "Quote sent" and "Confirmed" so nobody is forgotten.
Keep every enquiry
When customers use the enquiry form on your Indiexis page, the message opens in WhatsApp and a copy is also saved in your dashboard and emailed to you, so an enquiry is never lost even if a chat gets buried.
